School Receptionist - FoH and Attendance

North West/ temporary / £13.69 - 14.20 per hour

Job Description:

The Administration Assistant will be part of the Administration department on a temporary basis. This role will support the Academy in overseeing the administration support service to its staff and pupils.

Duties & Responsibilities

General Roles and Responsibilities

  • Support the smooth running of the academy office and communication systems.
  • Support the management of manual and computerised record/information systems.
  • Where appropriate, undertake secretarial duties of a confidential nature.
  • Support the admissions procedures in line with the All Saints Multi Academy Trust processes. Supporting the induction process for new pupils as required.
  • Support the professional and welcoming reception of all visitors, parents and stakeholders. Ensuring that all visitor checks and health and safety processes are in place to monitor entry in and out of the academy.
  • Assist with the arrangements of trips.
  • Assist with the organisation of parents evenings and other meetings and events, including the organisation of rooms and equipment, and providing refreshments as required.
  • Ensure that filing, printing and photocopying is carried out as requested by management. Maintain the operation of the printer and photocopier to ensure it is ready for use at all times, resolving any issues as necessary.
  • Support with the management of the academy email inbox, ensuring that the academy meets its expected response times and emails are forwarded to the relevant staff member as necessary.
  • Ensure that incoming and outgoing post is organised and distributed.
  • Ensure that all staff create a professional and welcoming reception for all visitors, parents and stakeholders. Ensuring all visitor checks and health and safety processes are in place to monitor entry in and out of the Academy.
  • Assist with the maintenance and administration of pupil records.
  • Assist with the management of stock, supplies and resources including ordering ensuring best value following the academy’s purchasing processes.
  • Undertake general administrative and clerical duties.
  • Support the marketing and promotion of the academy.
  • Ensure that the office is kept tidy, always organised and in good order.

General

  • The Trust is an ambitious organisation with a strong leadership and governance who have plans to expand the Trust in future. The duties of this role will include any other duties to support the HR related activities to further the Trust's ambitions in line with the grade.
